Workflow Privacy

Drutas allows you to control who can view and use a workflow through three privacy levels — Organization, Workspace, and Team. These settings determine a workflow’s visibility in Collab Central and during task assignment.

1. Organization Privacy

Workflows with Organization-level privacy are visible to all members of the organization.
Users can access these workflows from the task creation dropdown by selecting the team name or by searching for the workflow directly in Collab Central.

2. Workspace Privacy

Workflows with Workspace-level privacy are visible only to members of that workspace.
By default, all newly created workflows are set to Workspace-level privacy.
A team’s visibility remains private if all its workflows are set to either Workspace or Team privacy.

3. Team Privacy

Workflows with Team-level privacy are visible only to members of that specific team.
These workflows appear in Collab Central and the task creation dropdown only for users who belong to that team.

Default and Custom Privacy Settings

  • By default, a new workflow is set to Team-level privacy.

  • You can change a workflow’s privacy to Organization or Workspace level from the Workflow Settings page.

  • The default workflow on your personal board always has Organization-level privacy, which cannot be modified.

How to Update Workflow Privacy

  • Go to the Team Settings page.

  • Select the Workflow tab.

  • Open the Description section.

  • Use the Privacy dropdown to choose between Organization, Workspace, or Team level.

My Board privacy settings

The default workflow always has the organisation privacy, and its privacy settings cannot be modified.

    • A board with Team’s privacy (restricted) only allows the owner to create tasks for themselves but the Organisation privacy let the owner create tasks and allow others to assign tasks to the board.
    • If you have multiple workflows, you can change the privacy settings, click the teams settings icon, go to the workflow page, and select the description feature from the left to set the privacy.
    • All organization privacy workflows, including the default, appear in Collab Central for task assignment
    • You can adjust workflow privacy to exclude them from Collab Central but cannot change the default workflow’s privacy that is set to organisation .
